Location: This is an administrative position you can do from home, and it would be helpful if you are located in Tulsa. The Foster Coordinator will be responsible for onboarding and supporting foster homes, ensuring that dogs are placed in the right environments during their time with us. This position involves managing the day-to-day logistics of foster placements, coordinating communication between fosters and the rescue team, and ensuring that each dog receives the care they need to thrive in a home environment until they find their forever families. VOLUNTEER COORDINATOR
The Volunteer Coordinator for Helpless Hounds recruits, supports, organizes, and retains
volunteers for in-person fundraisers, adoption events, home shows, and cleaning crews.The
Volunteer Coordinator should ensure our volunteers feel supported, valued, and
empowered to help.
Key Responsibilities:
- Research & Learn Signup Genius or other volunteer management systems
- Recruit and Organize volunteers for upcoming events and fundraisers
- Communicate effectively with volunteers about scheduled times and roles
- Ensure that all volunteers are properly prepared for their shifts with appropriate attire & expectations of their roles
- Maintain volunteer contact lists so we may reach out to them again for future events
- Coordinate volunteer applications, interviews, and orientation, and respond to any inquiries in a timely, friendly manner
- Ensure volunteers understand rescue policies, expectations, and safety guidelines
- Serve as a point of contact for volunteer questions and concerns
- Work closely with Helpless Hound’s Team and other rescue volunteers to align schedules.

TRANSPORT COORDINATOR
The Transport Coordinator for Helpless Hounds is responsible for coordinating the safe and
timely movement of dogs from foster homes to their designated destinations, mostly forever
homes, ensuring all necessary paperwork and protocols are followed.
Key Responsibilities:
- Organize and schedule transport for dogs in need of relocation to rescue partners, long-distance foster homes, or adopters, ensuring a smooth transition from one location to another.
- Communicate effectively with volunteer drivers, transport partners, other rescue organizations, and mostly adopters to confirm transportation arrangements and timelines.
- Ensure that all dogs are properly prepared and safe for travel, including ensuring they have appropriate supplies, necessary documentation (health certificates, vaccination records), and/or any comfort items.
- Maintain accurate records of transportation schedules, routes, and any associated costs. Document any delays, issues, or special circumstances and communicate them to relevant parties.
- Work closely with the fosters & adopters, and other rescue volunteers to align transport schedules.
- Assist with tracking transportation costs and working within the allocated budget for transport-related expenses.
- Previous experience in logistics, transportation coordination, animal rescue, or volunteer management is helpful.
- Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to effectively interact with volunteers & partners.
- Ability to think quickly and adapt to changing circumstances.
- Proficiency in using google maps, email, and general office tools. Knowledge of Google Docs/Sheets or project management tools is a plus.

INTAKE COORDINATOR
The Intake Coordinator for Helpless Hounds plays a crucial role in ensuring the seamless
intake of hound breeds into our care. This position is responsible for evaluating surrender
applications and keeping a log of hounds on the waitlist.
Key Responsibilities:
- Serve as the primary point of contact for hound dog intakes, including owner surrenders, strays, transfers from shelters, and emergency rescues.
- Conduct virtual intake assessments, based on the information provided in our surrender form, including health checks, behavior evaluations, and identification of any special needs or medical issues.
- Ensure each dog receives timely and appropriate veterinary care, including vaccinations, spay/neuter, and parasite control.
- Record detailed information for each dog in the rescue’s database, including medical history, temperament, and any special behavioral traits.
- Work closely with veterinary staff to schedule medical treatments, vaccinations, and other necessary care for incoming dogs.
- Help manage intake flow to ensure the rescue’s capacity is not exceeded.
- Participate in team chats, share updates on intake and foster status, and help identify any trends or needs for the rescue.
- Coordinate with foster homes to ensure a smooth transition for dogs requiring temporary care before adoption.
- The ideal candidate will have a passion for hound breeds, a deep understanding of their unique needs, and a compassionate, detail-oriented approach to animal welfare.
- Excellent communication skills for working with owner surrenders, other volunteers, and other rescue organizations

MEDICAL COORDINATOR (A) PAST DOGS
The Medical Coordinator A for Helpless Hounds will oversee and manage the medical care
of adopted puppies and hounds who are technically still under our care, even though they
have already gone to their forever homes. Responsibilities include ensuring that they
receive timely & appropriate follow up shots, alteration surgery, and any additional vetting
needed in order to complete their adoption checklist.
Key Responsibilities:
- Make note of veterinary appointments for adopted dogs, including follow up vaccinations, spay/neuter surgeries, and heartworm treatments under the medical events in Pawlytics.
- Oversee and manage the puppies who were too young to be spayed and neutered when they were adopted.
- Maintain detailed spreadsheets with adopted puppies, ensuring accuracy in tracking follow up vaccinations and alteration surgeries.
- Input information from the Medical Reimbursement Form into the dog’s medical tab in Pawlytics and tell Amity how to pay and how much.
- Oversee the care of adopted adult hounds with any medical conditions or injuries, ensuring they receive the necessary treatments and follow-up care.
- Communicate with adopters about Adopted hound’s medical needs, including any ongoing treatments, special care instructions, or considerations.
- Participate in team chats, sharing updates on the health status of adopted hounds.
- Fill out medical checklists as needed.
- Knowledge of canine shots, health issues (e.g., ear infections, heartworm treatments)
- Strong organizational skills, experience with fillable PDF’s, and proficiency in using animal management software for tracking health information

MEDICAL COORDINATOR (B) CURRENT DOGS
The Medical Coordinator B for Helpless Hounds will oversee and manage the medical care
of all current hounds in our program, ensuring that they receive timely, appropriate, or
specialized care and any additional vetting needed in order to complete their checklist so
that they are ready for adoption. This role requires excellent organizational skills to track
health records, medications, and treatments.
Key Responsibilities:
- For ALL current dogs: Record all veterinary appointments as a Medical Event in Pawlytics until a dog is adopted, then request and input their Medical Records after their appointments.
- Fill out our medical checklist for each new intake, and include dates for booster shots or follow up vetting.
- Maintain updates to the medical checklist as hounds with continued vetting requirements receive care.
- Keep a chart or some system about any current dog’s continued vet care requirements, with proposed dates.
- Keep up with monthly preventions needed for our hounds: Maintain the Prevention spreadsheet and input the same info into Pawlytics medical tab, with reminders. Each dog should receive HW Prevention on the 1st or 15th of every month.
- Collaborate with the intake coordinator about new intake’s medical needs: If anything is missing from their checklist, or if they need any ongoing special treatments, defining when they’ll be medically cleared for foster or adoption.
- Participate in team chats, sharing updates on the health status of hounds and collaborating with other departments for optimal care and adoption readiness.
- Veterinary Technician License (LVT or RVT) is a plus but not required
- Knowledge of common canine health issues (e.g., ear infections, heartworm treatments)
- Strong organizational skills, experience with fillable PDF’s, and proficiency in using our animal management software for tracking health information

ADOPTION COORDINATOR
The Adoption Coordinator for Helpless Hounds is responsible for managing the adoption
process to ensure a successful placement in a permanent home. This role is vital in
matching rescued hounds with appropriate families, ensuring a smooth transition from foster
care to adoption. The ideal candidate has experience with both animals and people, and a
strong understanding of the unique needs of hound breeds.
Key Responsibilities:
- Assist in reviewing adoption applications and sending follow up questions to applicants.
- Educate potential adopters about hound-specific behaviors, health needs, and post-adoption care, offering guidance throughout the transition period.
- Ensure all dogs are medically and behaviorally cleared for adoption, working closely with the Medical Coordinator B.
- Mark the hound as “Pending Adoption” in Pawlytics once a plan for adoption has been secured.
- Type an Adoption Invoice in Xero, and email to the adopter ahead of the Adoption Day Appointment.
- Schedule meet-and-greets between foster parents who have our adoptable dogs, and potential families, ensuring the process is smooth and informative.
- Track the success of adoptions and conduct follow-up communication with adopters to offer post-placement support, address concerns, and provide training resources.
- Add additional information to the dogs Microchip, post adoption.
- Strong understanding of hound dog behaviors and breed-specific traits
- Excellent communication skills (written and verbal), with the ability to interact compassionately with adopters, fosters, and the public
- Organizational skills to handle a variety of tasks in a fast-paced, foster-based rescue environment
- Proficiency with spreadsheets, email, and shelter management software
- Ability to work independently and collaborate with a remote/volunteer-based team

FUNDRAISING COORDINATOR
The Fundraising Coordinator for Helpless Hounds is responsible for developing, organizing,
and managing fundraising efforts. This role is essential to keeping us a-float by generating
funds to cover veterinary care, transportation costs, supplies, and emergency needs.
Key Responsibilities:
- Identify new fundraising opportunities and revenue streams
- Develop and implement fundraising initiatives throughout the year
- Set fundraising goals, ideally doing quarterly online fundraisers
- Plan and coordinate fundraising campaigns (online and in-person), raffles, auctions, or community partnerships
- Help cultivate and maintain relationships with donors and supporters
- Assist with donor communications, acknowledgments, and thank-yous
- Work with the social media and marketing teams to promote fundraisers
- Coordinate with other rescue coordinators to align fundraising needs with rescue priorities
- Track and report fundraising progress and outcomes
- The ideal candidate is creative, organized, and passionate about animal welfare, with a knack for motivating others to support a great cause
- Creative thinking skills and communicative with vendors and partners
- Comfortable working independently and as part of a remote team
- Basic familiarity with online fundraising platforms and social media is helpful
